Yep, nearly 65% of all business owners are having deliverability issues with their email.  What is that?  It&#8217;s when you are doing all the things, following all the rules and your emails end up in spam.  I&#8217;m not alone &#8212; you&#8217;re not alone.  Thanks to a recent <a href=\"https:\/\/kickbox.com\/resource-center\/email-deliverability-report\" data-lasso-id=\"82895\" target=\"_blank\" rel=\"noopener\">Kickbox study<\/a> &#8212; this is a real problem.  In this article, I&#8217;m going to share my story and let&#8217;s see if it you are having similar issues.  If so &#8212; try this. <\/p>\n\n\n\n<p>Here&#8217;s what happened to me.<\/p>\n\n\n\n<p>There I was, living my best email life; getting solid <a data-lasso-id=\"82564\" data-lasso-name=\"Email marketing software | Zoho Campaigns\" href=\"https:\/\/diymarketers.com\/zoho-campaigns\/\" data-type=\"lasso-urls\" data-id=\"84539\" target=\"_blank\" rel=\"nofollow noopener\">email<\/a> open rates \u2014 20%, often more \u2014 and then overnight, they tanked. Then I ran a campaign and got 6% open rates in a campaign. Hmm, maybe it&#8217;s a fluke.  But no.  A couple days after the campaign, Zoho Campaigns reached out to me to tell me that something was wrong.  I was confused. <\/p>\n\n\n\n<p>I did everything &#8220;right&#8221;: my email platform was legit, I had SPF, DKIM, and DMARC set up. But my emails were still landing in spam.<\/p>\n\n\n\n<p>Turns out, there\u2019s more to staying in the inbox than flipping a few DNS switches. If your open rates have dropped below 10%, there\u2019s a good chance you\u2019re in Gmail jail.<\/p>\n\n\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/lh7-rt.googleusercontent.com\/docsz\/AD_4nXfEOpeZ4fFTHwx4IdBt8rY4lLyvwkzyAWHc089Tk27Qqs2tUpIAx-2WnYIXrdUH_omr43C2rRCrsnibpgDSqExsv66VSW7WCfan6Ar8RQJePASTwU9XZ__FHDxS9Nh9il_mTc3F?key=QrB2G8jkG57IzPAB9QxosWFN\" alt=\"email open rates below 10%\" title=\"\"><\/figure>\n\n\n\n<p>Let me show you how to get out.<\/p>\n\n\n\n<p>Been there. Lived it. Fixed it. And now I\u2019m here to help you avoid email jail.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>First, What Is Gmail Jail?<\/strong><\/h2>\n\n\n\n<p><a href=\"https:\/\/diymarketers.com\/best-gmail-crm-tools\/\" data-type=\"post\" data-id=\"78262\" data-lasso-id=\"82565\">Gmail<\/a> jail is when your emails get flagged as spam or land in the Promotions tab instead of your customer\u2019s main inbox. Even though you\u2019re not a spammer, Gmail treats you like one because of invisible technical problems with your domain setup.<\/p>\n\n\n\n<p>You don\u2019t even know it\u2019s happening until your open rates drop to single digits.&nbsp;&nbsp;<\/p>\n\n\n\n<p>Here\u2019s a timeline of when these regulations went into effect.&nbsp;<\/p>\n\n\n\n<figure class=\"wp-block-table\"><table class=\"has-fixed-layout\"><tbody><tr><td><strong>Year\/Period<\/strong><\/td><td><strong>Event\/Requirement<\/strong><\/td><\/tr><tr><td>Early 2000s<\/td><td>SPF and DKIM standards introduced<\/td><\/tr><tr><td>2010<\/td><td>DMARC development begins<\/td><\/tr><tr><td>Jan 2012<\/td><td>DMARC specification published<\/td><\/tr><tr><td>2012\u20132023<\/td><td>Gradual adoption, best practice for marketers<\/td><\/tr><tr><td>Early 2024<\/td><td>Google\/Yahoo enforce SPF, DKIM, DMARC for bulk senders &#8211; full alignment required<\/td><\/tr><tr><td>May 2025<\/td><td>Microsoft enforces SPF, DKIM, DMARC for bulk senders<\/td><\/tr><\/tbody><\/table><\/figure>\n\n\n\n<p>Up until 2024, email providers were pretty lenient.&nbsp; They kept encouraging everyone to make these changes and everyone did.&nbsp; But Google, Yahoo, and Microsoft (probably 99% of all email) weren\u2019t being rigorous about it \u2013 until, as I learned in April 2025.&nbsp;<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>Why Is This Happening To You?<\/strong><\/h2>\n\n\n\n<p>You\u2019re sending from your own domain\u2014that\u2019s good. But here\u2019s what nobody told you: it&#8217;s not enough to <em>have<\/em> SPF, DKIM, and DMARC set up. They also need to be <strong>aligned<\/strong> with your domain and email headers.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>Wait. What are SPF, DKIM, and DMARC?<\/strong><\/h3>\n\n\n\n<p>Think of your email like a handwritten letter:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>SPF (Sender Policy Framework)<\/strong> is your return address. It tells Gmail which servers are allowed to send emails for your domain.<br><\/li>\n\n\n\n<li><strong>DKIM (DomainKeys Identified Mail)<\/strong> is your signature. It proves the email wasn\u2019t tampered with along the way.<br><\/li>\n\n\n\n<li><strong>DMARC (Domain-based Message Authentication Reporting and Conformance)<\/strong> is your house rules. It tells Gmail what to do if SPF or DKIM don\u2019t match up.<\/li>\n<\/ul>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>And What\u2019s Alignment?<\/strong><\/h3>\n\n\n\n<p>This is the part that tripped me up\u2014and probably you too. Even if SPF and DKIM are &#8220;passing,&#8221; Gmail wants the <strong>domain<\/strong> in the email header (what your reader sees in the &#8220;From&#8221; address) to match the domain in your SPF and DKIM setup.<\/p>\n\n\n\n<p>In my case? My email said &#8220;from @diymarketers.com,&#8221; but my email platform was sending it from Zoho\u2019s bounce address, which used a domain like zcsend.net. Boom. Gmail said, &#8220;That doesn\u2019t match&#8221; and off to spam it went.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>How to Know If You&#8217;re in Trouble<\/strong><\/h2>\n\n\n\n<p>Every email marketing tool will guide you through this spf, DKIM, and DMARC process.&nbsp; When you\u2019ve added the correct records, you\u2019ll see something like the image here \u2013 everything looks verified and good.&nbsp;<\/p>\n\n\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/lh7-rt.googleusercontent.com\/docsz\/AD_4nXeK7l5NqKSBx_-mdF4n1IEkHs2NttWkoMMSxmVz_sMu3Wgr2zguuByCjByzHG9Vs9v-jFwIRCG9kXDbwtfbT8QNYD3k7k04aLdSQbHC7w2TM8xpQlpiBK1JEQ1qfrYMD6p7Yo7Vxg?key=QrB2G8jkG57IzPAB9QxosWFN\" alt=\"email open rate - domain verification\" title=\"\"><\/figure>\n\n\n\n<p>I thought I was good.&nbsp; Everything was verified and my email results were looking good.&nbsp; But here\u2019s what I didn\u2019t know \u2013 until I sent an email campaign and out of the blue &#8211; my open rate plummeted to below 10%.<\/p>\n\n\n\n<p>As soon as I saw that, I was concerned and I went back to check to see if maybe something broke.&nbsp; But everything looked fine.&nbsp; I honestly didn\u2019t know what to do.&nbsp;<\/p>\n\n\n\n<p>So I reached out to Zoho Campaigns support and they told me to check my Google Postmaster tools \u2013 and this is where I saw a problem.<br><\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>Use Google Postmaster Tools (FREE!)<\/strong><\/h3>\n\n\n\n<p>Here\u2019s how to get the truth about how Gmail sees your domain:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Go to<a href=\"https:\/\/postmaster.google.com\/\" data-lasso-id=\"82566\" target=\"_blank\" rel=\"noopener\"> Google Postmaster Tools<br><\/a><\/li>\n\n\n\n<li>Log in with the same Gmail address you use for your business<br><\/li>\n\n\n\n<li>Add and verify your domain (you\u2019ll add a TXT record to your DNS)<br><\/li>\n\n\n\n<li>Check the following tabs:<br>\n<ul class=\"wp-block-list\">\n<li><strong>Spam Rate<\/strong> (should be under 0.1%)<br><\/li>\n\n\n\n<li><strong>Domain Reputation<\/strong> (you want &#8220;High&#8221;)<br><\/li>\n\n\n\n<li><strong>Authentication<\/strong> (check SPF, DKIM, and DMARC)<br><\/li>\n<\/ul>\n<\/li>\n<\/ol>\n\n\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/lh7-rt.googleusercontent.com\/docsz\/AD_4nXfZ6oSbww-Sjpn6g89D6SXmAy8tSPpN_SowRp4SrmxPfxzx6UPrlxlSMjyF22QEaLFpTdI7vxU2lyOA5V42xRyaYzSOxmqoOz2appD-NnaTBoMO4kQ1a28kOG-D_ZiMs7k2v4K-7w?key=QrB2G8jkG57IzPAB9QxosWFN\" alt=\"postmaster tool heading alignment\" title=\"\"><\/figure>\n\n\n\n<p>If anything says &#8220;Needs Work&#8221; or &#8220;Fail,&#8221; you\u2019re in Gmail jail.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>How to Fix It (Like I Did)<\/strong><\/h2>\n\n\n\n<p>Here\u2019s what I did to get out\u2014and what you should do, too.<\/p>\n\n\n\n<p>I went to ChatGPT.&nbsp; I\u2019m petrified of messing around with this kind of stuff and honestly didn\u2019t know what to do.&nbsp;<\/p>\n\n\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/lh7-rt.googleusercontent.com\/docsz\/AD_4nXfw8ok9p3QH-wkiPQKMaW0SMtaA7uqtfGeLEE6bd7zMTqdsK7NqHMs-J0pWw5UoX794919iUR9KJHmLND_Au800k4cBXvvqwHg1E6EfCoxrl51fRxQQUlTiTJ5imOWEcWyHY7fjZA?key=QrB2G8jkG57IzPAB9QxosWFN\" alt=\"ChatGPT prompt to fix DKIM\" title=\"\"><\/figure>\n\n\n\n<p>The first paragraph is my prompt and then I went into Google Postmaster Tools and pasted in the text from the postmaster tools dashboard.&nbsp;<\/p>\n\n\n\n<p>And this is what ChatGPT said \u2013 it basically translated all that technical speak into plain English so that I can understand what the problem is.&nbsp;<\/p>\n\n\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/lh7-rt.googleusercontent.com\/docsz\/AD_4nXeOKnE26ux3gzEbINBu-wfgycoJN_FUAV5yMOeLP6uGBWIl0nLRL0va2LO5d8OaAlluBWGA-oRYGWAUsaD72zGCOi71e9ezhyaUjbOyGuuYQ4_ueO1msHFtjLDReAfulCJQaFFVVg?key=QrB2G8jkG57IzPAB9QxosWFN\" alt=\"ChatGPT - google postmaster tool\" title=\"\"><\/figure>\n\n\n\n<p>OK \u2013 so now I knew what the problem was. But how do I fix it?<\/p>\n\n\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/lh7-rt.googleusercontent.com\/docsz\/AD_4nXeSp34YBSA3FSyAxmhQcPoxx1qwPoK8QbxuGPBj9GkyxMGymppsY8-JrHP-wkTIOFYnQ3n0ccvu7NE6TgzI944gRMNYdfrEUqXhb8doquOALOSZtSJBdva79L79c6QGjrLAQjhCOg?key=QrB2G8jkG57IzPAB9QxosWFN\" alt=\"ChatGPT - email verification fix\" title=\"\"><\/figure>\n\n\n\n<p>This is where ChatGPT really came through.&nbsp; I won\u2019t take you through the whole chat (it\u2019s long) but this was a game-changer for me.&nbsp;<\/p>\n\n\n\n<p>Here\u2019s a cleaned up and summarized version.&nbsp;<\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>Step 1: Fix Your SPF Record<\/strong><\/h3>\n\n\n\n<p>Go to your DNS (likely through your domain registrar or web host). Find your SPF record.<\/p>\n\n\n\n<p>Example SPF that includes Zoho:<\/p>\n\n\n\n<p>v=spf1 include:zoho.com include:zcsend.net -all<\/p>\n\n\n\n<p>Make sure it includes <strong>every platform<\/strong> you send emails from (like Mailchimp, ConvertKit, Zoho, etc.).<\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>Step 2: Fix Your DKIM<\/strong><\/h3>\n\n\n\n<p>Your platform (like Zoho Campaigns or Mailchimp) should give you a DKIM record to paste into your DNS. Make sure the domain in the d= tag matches your actual sending domain (diymarketers.com, not zcsend.net).<\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>Step 3: Align Your Return-Path (a.k.a. Bounce Address)<\/strong><\/h3>\n\n\n\n<p>Most ESPs (Email Service Providers) send bounces from their own domain. Give your email a rest. Postmaster Tools needs about 24 hours to process. Come back the next day and then go to Google Postmaster Tools.&nbsp; You should see this:<\/p>\n\n\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/lh7-rt.googleusercontent.com\/docsz\/AD_4nXfCNJf-dH1BSE0DSNrjkjVwr7VWLLfvRHb6XTbSEenTwPuh-BRb6Zf9bEJjS-QNMbbAskq8mcKC5c5WntjU6mf9t30-2oYhB1IS0G1p1PBPrEs6FxFvkJoAucD5i5VzWnNOmXuX1w?key=QrB2G8jkG57IzPAB9QxosWFN\" alt=\"google postmaster tools\" title=\"\"><\/figure>\n\n\n\n<p>With all the tech cleaned up \u2013 you now need to go and <a href=\"https:\/\/diymarketers.com\/email-cleaning-tools\/\" data-type=\"post\" data-id=\"77314\" data-lasso-id=\"82576\">clean your email list<\/a>.&nbsp;<\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>Step 4: Clean Your List<\/strong><\/h3>\n\n\n\n<p>Inactive or cold subscribers hurt your sender score. Here\u2019s how to clean up:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Export your entire list.<br><\/li>\n\n\n\n<li>Sort by &#8220;last opened&#8221; or &#8220;last clicked.&#8221;<br><\/li>\n\n\n\n<li>Tag contacts like this:<br>\n<ul class=\"wp-block-list\">\n<li><strong>Engaged<\/strong>: Opened\/clicked in last 30 days<br><\/li>\n\n\n\n<li><strong>Warming up<\/strong>: Opened in last 31\u201390 days<br><\/li>\n\n\n\n<li><strong>Cold<\/strong>: No opens\/clicks in 90+ days<br><\/li>\n<\/ul>\n<\/li>\n\n\n\n<li>Delete or suppress everyone in the cold group (or run a re-engagement campaign first).<br><\/li>\n<\/ol>\n\n\n\n<p>Tools like MailerLite, ActiveCampaign, and ConvertKit make this easy to do inside the platform.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>Step 5: Rebuild Trust With Gmail<\/strong><\/h3>\n\n\n\n<p>Just because you\u2019ve cleaned everything up, doesn\u2019t mean that you can start sending thousands of emails.&nbsp; You need to re-introduce yourself to Google.&nbsp;<\/p>\n\n\n\n<p>To do that, you want to start sending emails to your MOST ENGAGED people and ask them to reply back to you.&nbsp; And then, you reply to them. This is showing Google that you have a real relationship with your list.&nbsp;<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Send only to your <strong>Engaged<\/strong> segment for 2\u20133 sends<br><\/li>\n\n\n\n<li>Use personal, plain-text style emails<br><\/li>\n\n\n\n<li>Avoid spammy phrases (&#8220;Act now!&#8221; &#8220;Limited time only!&#8221;)<br><\/li>\n\n\n\n<li>Ask people to reply \u2014 replies help build sender credibility<br><\/li>\n\n\n\n<li>Use segmentation to test subject lines and improve engagement gradually<br><\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>How to Create Smaller Segments in Your List<\/strong><\/h2>\n\n\n\n<p>Segmentation is your best friend. Here\u2019s how to do it without any fancy tech skills:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Go to your email platform and filter contacts by last activity.<br><\/li>\n\n\n\n<li>Create the following segments:<br>\n<ul class=\"wp-block-list\">\n<li><strong>Recent Openers<\/strong>: Opened email in the past 30 days<br><\/li>\n\n\n\n<li><strong>Clickers<\/strong>: Clicked on any link in last 30\u201360 days<br><\/li>\n\n\n\n<li><strong>Dormant<\/strong>: No opens\/clicks in 90+ days<br><\/li>\n<\/ul>\n<\/li>\n\n\n\n<li>Create tags like Hot, Warm, Cold and use these for sending smart, targeted campaigns<br><\/li>\n<\/ol>\n\n\n\n<p>Focus on your <strong>Hot<\/strong> and <strong>Warm<\/strong> lists. Avoid sending mass emails to Cold unless you&#8217;re doing a specific re-engagement campaign.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>Your Domain = Your Reputation<\/strong><\/h2>\n\n\n\n<p>If your email is you@yourcompany.com, you <em>own<\/em> that domain\u2019s reputation. Mess it up, and it doesn\u2019t matter what tool you use\u2014Gmail won\u2019t deliver your messages.<\/p>\n\n\n\n<p>You wouldn&#8217;t leave your credit card info lying around. Don&#8217;t leave your domain unprotected, either.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>Email Deliverability Checklist<\/strong><\/h2>\n\n\n\n<p>If you&#8217;re not getting the open rates you expect, use this checklist to systematically troubleshoot and fix your email deliverability. These steps are tailored for non-technical small business owners using platforms like Zoho, Mailchimp, or ConvertKit.<\/p>\n\n\n\n<p><strong>Step 1: Confirm Gmail Is Flagging You<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Go to<a href=\"https:\/\/postmaster.google.com\/\" data-lasso-id=\"82569\" target=\"_blank\" rel=\"noopener\"> Google Postmaster Tools<\/a> and log in.<br><\/li>\n\n\n\n<li>Add your domain and verify it using a TXT record through your DNS settings.<br><\/li>\n\n\n\n<li>Check the &#8220;Authentication&#8221; tab.
